JOB TITLE Workshop Administrator

An excellent opportunity has arisen for a Workshop Administrator to help organise and maintain the administrative aspects within a busy Depot based in St Albans.
Our client is a global leader in environmental solutions, providing a comprehensive range of waste, water and energy management services designed to build the circular economy and preserve scarce raw materials and in this role you will be based in their busy workshop in the St Albans depot.
An excellent opportunity has arisen for a Workshop Administrator to co-ordinate and control the maintenance activity and service schedules undertaken by our cilent who are running the St Albans council contract.
Your principal responsibilities will be to (but not limited to)
Liaise with managers, supervisors and drivers on the reporting of defect repairs of vehicles. Obtain mileages and detailed information regarding vehicle defects.
Liaise with customers to ensure vehicles are presented on time for servicing. Re-scheduling of services when necessary and dealing with any customer queries.
Raise job cards and collate relevant vehicle inspection sheets as per procedures and pass to relevant persons.
Arrange for repair/replacement of tyres with appropriate sub-contractors and raise relevant job cards and purchase orders. Maintain daily records and compile weekly spreadsheets to email to managers.
Input Fitter's daily timesheets onto Fleet Management system of completed jobs and maintain weekly payroll spreadsheet.
Check and prepare all job cards for invoicing, calculating labour and parts costs. Investigating missing/duplicated parts to ensure all information is logged onto the system correctly.
Previous experience within a similar role is desirable to be successful in this position. This could have been gained in a workshop / depot / logistics company / vehicle rental outfit.
Experience of controlling and maintaining service schedules in a large workshop.
Able to prioritise own workload and work with a minimum of supervision.
GCSE's - Maths & English - Grade C or above.
Good planning and problem solving ability.
Exceptional interpersonal skills.
Ability to build strong working relationships with internal, and external customers.
Excellent knowledge of computers, fleet systems, HR systems, Word, Excel and SAP.
